Privacy policy

What we collect, why, who sees it, how long we keep it, and how to make us delete it. Most of what we hold is about children, so this matters.

Plain English, and not written by a lawyer. This is an accurate description of how we operate, written so that a parent can read it. It is not legal advice and it has not been reviewed by a solicitor. If anything here matters to you legally, ask us and we will put it in writing.

1The short version

  • We collect what we need to run a camp safely, and nothing else.
  • We do not sell anything to anybody, ever. There is no advertising here.
  • There are no analytics, no tracking pixels and no third party scripts on this website at all. Not on any page.
  • You can ask to see what we hold, correct it, or have it deleted, and we will do it within thirty days and usually the same week.

2Who is responsible

Open Ice Initiative Inc., Toronto, Ontario, Canada. Andrew Adair is accountable for privacy as he is for safeguarding, and he is the person you reach.

We operate under the federal Personal Information Protection and Electronic Documents Act and the privacy law of Ontario as it applies to us.

3What we collect, and why

When you apply for a camp. A parent or guardian name, email, phone and preferred contact method. The child's name, age, date of birth, neighbourhood or the first three characters of a postcode, skating experience, equipment sizes, and a medical section covering conditions, allergies, medication and anything about how the child communicates or moves.

Every one of those has a reason. Age and date of birth decide eligibility and grouping. The neighbourhood tells us whether we are reaching the areas we set out to reach; we ask for three characters rather than a full address for that reason. Sizes mean the equipment fits on the first morning instead of the third. The medical section is the one that can prevent a child being hurt.

When you volunteer, sponsor or email us. Your name, your contact details, and whatever you wrote to us.

When you donate. Nothing. Donations go through GoFundMe on their systems and we never see a card number. GoFundMe may tell us a name and an amount so that we can thank you.

When you read this website. Nothing at all. No cookie is set, no identifier is stored, and there is nothing here that follows you anywhere. The settings panel keeps your choice of theme, text size and language in your own browser, on your own device. That never leaves it and we cannot read it.

4Children's information, specifically

Most of what we hold is about a child, given to us by their parent or guardian. We treat it as the most sensitive category we handle.

  • A child's medical information is seen by the coaching staff and the first aid lead. Nobody else, including the wider executive.
  • We never publish a child's name next to their photograph, and we never publish a school, a team, an address or anything else that would identify them.
  • We do not share a child's information with a partner, a sponsor or a school without asking the family first, in writing, for that specific thing.
  • We do not use a child's information for marketing. There is no mailing list you are added to by applying.

5Photographs

We publish photographs of identifiable children on this website. A photograph is published only where consent is on file for that child, recorded in a register we keep.

Consent can be withdrawn at any time, for any reason, without explaining it. A withdrawal is acted on the same day and the photograph is off the site within twenty four hours.

To withdraw: email andrew.adair@ucc.on.ca with the page and roughly where on it. The safeguarding page has the full detail.

6Who else touches it

As few as we can manage. Everybody listed here is a processor acting on our instructions, not a party we sell anything to.

About the application form. If you submit it and the automatic send is working, the contents, including the medical section, pass through Resend on their way to us. If it is not working, the form hands you the same text as an email or as something to copy, and then nothing passes through anybody: it goes from your mail app to our mailbox. Either way it is not stored on this website, because this website has no database.

We do not use Google Analytics or any other analytics product. We have never installed one and we do not intend to.

7How long we keep it

  • An application that did not lead to a place: kept for the next camp cycle so we can offer you one, then deleted. Ask us to delete it sooner and we will.
  • A camper's registration and medical information: kept for the camp and for as long as we are required to keep an incident record, then deleted.
  • Photograph consents: kept for as long as the photograph is published, because the consent is the reason it is allowed to be.
  • Emails: kept while the conversation is live and archived afterwards.

8Your rights, and how to use them

You can ask us to show you everything we hold about you or your child, correct anything wrong in it, delete it, or stop using it for something. You do not need to give a reason and we will not ask for one.

One email does all of it: andrew.adair@ucc.on.ca, subject line whatever you like. We will confirm within three days and finish within thirty, usually the same week.

If your child has already come to a camp and you want everything about them erased, say so and we will do it, including removing photographs. It will not affect their place at a future camp in any way.

If we get it wrong, you can complain to the Office of the Privacy Commissioner of Canada. We would rather you told us first, and we will not take it badly.

9Keeping it safe, and telling you if we fail

The site is served over HTTPS. It has no database and no login, so there is no store of personal information on it to break into. Applications live in a mailbox and in our files, not on the website.

If personal information we hold is lost or exposed in a way that could cause you harm, we will tell you directly and promptly, and we will tell you what happened rather than a sentence that says nothing.

10Changes

If we change how we handle information we will change this page and record it in the changelog with a date. If a change is significant and affects a family who has applied, we will email them rather than expecting them to notice.
